This Privacy Policy explains how ANTS Digital (“we”, “us”, “our”) collects, uses, discloses, and safeguards information when you use Anthill (the “Platform”) — our integrated suite for human resources, recruitment, work & project management, performance, and marketing analytics.

1. Introduction

Anthill is a business-to-business (B2B) workplace platform provided by ANTS Digital to employer organisations (“Customers”). We are committed to handling personal information responsibly and in line with applicable data-protection laws, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 of India, and other laws where applicable.

When your employer uses Anthill, your employer is the data controller / data fiduciary of your workplace information, and ANTS Digital acts as a data processor on their instructions. Please also review your employer's own privacy notice.

2. Who this policy applies to

  • Employees & users of Customer organisations who sign in to Anthill.
  • Candidates & applicants who interact with our hiring module (e.g. assignment or offer-letter links) without a login.
  • Clients & contacts whose details are recorded by Customers in the CRM, work-management or marketing modules.
  • Visitors to our public pages.

3. Information we collect

Information you or your employer provide

  • Account & profile data — name, work email, phone, role, department, reporting manager, profile photo, and login credentials.
  • HR & employment data — attendance, leaves, timesheets, salary and payroll details, documents, KRAs/appraisals, and policy acceptances.
  • Recruitment data — candidate profiles, resumes, assignment submissions, interview feedback, and offer/onboarding details.
  • Work & project data — tasks, projects, comments, files, and time logs.
  • CRM, client & finance data — client and vendor contacts, invoices, and related records entered by Customers.

Information collected automatically

  • Usage & device data — IP address, browser type, device, pages visited, and actions taken, kept for security and to improve the Platform.
  • Cookies & session data — used to keep you signed in and remember preferences (see Cookies).

Marketing & advertising data

  • Where a Customer connects an advertising account (e.g. Google Ad Manager, Google Ads, Meta Ads), we retrieve campaign performance metrics (spend, impressions, clicks, results) and, where the Customer enables it, lead-form submissions generated by their own ads, for reporting inside Anthill.

4. How we use information

  • Provide, operate, secure, and maintain the Platform and its features.
  • Authenticate users, manage access, and prevent fraud or misuse.
  • Process HR, payroll, recruitment, project, and reporting workflows on the Customer's behalf.
  • Send transactional and service communications (e.g. notifications, letters, alerts).
  • Provide analytics and dashboards, including marketing-performance reporting.
  • Comply with legal obligations and enforce our agreements.
  • Improve, troubleshoot, and develop new features.

We do not sell personal information, and we do not use employee or candidate data for our own advertising.

5. Third-party integrations

The Platform can connect to third-party services at the Customer's direction. When enabled, data is exchanged only as needed to provide the feature:

  • Advertising platforms — Google Ad Manager, Google Ads, and Meta (Facebook/Instagram) Ads, to read campaign metrics and (optionally) lead-form submissions.
  • Communication providers — email and messaging services used to deliver notifications and letters.
  • Cloud hosting & storage — infrastructure providers that host the Platform and store data securely.

Each integration is governed by that provider's own terms and privacy policy. Access tokens and credentials are stored in encrypted form.

6. How we share information

  • Within your organisation — with authorised users based on their roles and permissions.
  • Service providers — vendors who process data on our behalf under confidentiality and data-protection obligations.
  • Legal & safety — where required by law, regulation, legal process, or to protect rights, safety, and security.
  • Business transfers — in connection with a merger, acquisition, or asset sale, subject to this policy.

7. Data security

We apply administrative, technical, and organisational safeguards appropriate to the risk — including encryption of sensitive credentials, access controls and role-based permissions, secure authentication, and activity logging. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work continuously to protect your information.

8. Data retention

We retain personal information for as long as the Customer's account is active and as needed to provide the Platform, comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. When no longer required, information is deleted or anonymised. Customers control much of their own data and may delete or export records within the Platform.

9. Your rights & choices

Subject to applicable law, you may have the right to access, correct, update, or delete your personal information, object to or restrict certain processing, and withdraw consent.

Because your employer controls your workplace data, please direct such requests to your employer first; we will support them in responding. You may also contact us using the details below.

10. Cookies & tracking

We use strictly necessary cookies and similar technologies to keep you signed in, maintain session security, and remember preferences. These are essential to how the Platform functions. You can control cookies through your browser settings, though disabling them may affect functionality.

11. Children's privacy

The Platform is intended for use by organisations and their workforce and is not directed to children. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above and, where appropriate, by additional notice.
